Position: Administrative Coordinator
Location: Sorrento Valley, San Diego
Type: Full-time (in-office)
Schedule: Monday - Friday, 9am to 5pm
We’re a fast-paced education company looking for a sharp, highly organized Administrative Coordinator to join our team. This person will be the operational heartbeat of our office—managing the day-to-day details that keep everything running smoothly, while also supporting our relationships with clients and helping guide new families through the start of their journey with us.
Responsibilities:
- Work closely with the Director and CEO to support high-level priorities and day-to-day operations
- Proactively manage up by anticipating needs, keeping leadership organized, and offering solutions before problems arise
- Greet and assist families and visitors with professionalism and warmth
- Manage incoming and outgoing calls and emails with both prospective and current clients
- Take a consultative approach to guiding families through the early stages of the sales process
- Help manage tutor calendars
- Process billing, track payments, and handle light bookkeeping
- Keep the office clean, organized, and fully stocked—maintaining a polished, professional environment
- Coordinate with tutors to ensure smooth communication and schedule adjustments
- Support internal operations, including document prep, filing, and general admin tasks
- Stay flexible and open to making quick adjustments as priorities shift
- Handle sensitive information with discretion and accuracy

- Have experience in a customer-facing or sales support role (bonus if it was in education or services)
- Are confident managing up and supporting leadership effectively
- Are comfortable adapting quickly and staying composed in a fast-moving environment
Bonus points if you:
- Have QuickBooks or payment processing experience
- Have worked with scheduling or CRM tools
- Can write clear, professional emails quickly
- Have a naturally welcoming and upbeat presence
Compensation:
- $25-$35 per hour
