The successful candidate will serve as a strategic partner, adeptly translating big-picture ideas into clear, actionable steps. You will manage day-to-day priorities, anticipate needs, build strong relationships both internally and externally, and ensure the President can operate efficiently and effectively to advance our organization's mission.

About Us: We are a nationally recognized non-profit organization committed to civil and human rights, democracy, the rule of law, and fighting climate change while advancing environmental justice. Our organization values integrity, courage, collaboration, innovation, diversity, equity, and inclusion, fostering a supportive and engaging workplace that champions professional growth. As a member of our team, you will work with a group of dedicated, mission-driven, and supportive staff located in 16+ states across the country.

    What You'll Do:

    • Provide high-level administrative support to the President, including proactive calendar management, travel coordination, and thorough preparation for meetings.
    • Provide advanced scheduling management for the President. Prioritize inquiries and requests while troubleshooting scheduling conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
    • Act as a trusted liaison between the President and key stakeholders, including staff, major donors, law firm partners, and community leaders, demonstrating leadership to maintain credibility, trust, and support.
    • Coordinate and prepare internal and external meetings, providing relevant preparation materials and ensuring timely follow-up and alignment on strategic priorities.
    • Draft, edit, and format high-quality communications, reports, presentations, and materials aligned with strategic messaging and organizational objectives.
    • Proactively manage projects and action items, anticipate roadblocks, and facilitate cross-departmental coordination to advance critical initiatives.
    • Maintain meticulous digital filing systems and handle confidential information with discretion and professionalism.
    • Support fundraising and development activities, including donor communications and coordination of impactful events.
    • Manage logistics and preparation for speaking engagements, webinars, conferences, and external events.
    • Collaborate effectively across departments to enhance operational efficiency and foster a culture of teamwork and excellence.

    Who You Are:

    • Deeply committed to making a positive impact and passionate about supporting mission-driven work.
    • Have 3+ years of experience as an Executive Assistant or similar role, ideally within nonprofit or mission-oriented organizations.
    • A strategic problem-solver who proactively identifies opportunities to streamline systems, workflows, and communications.
    • Possess outstanding interpersonal and relationship-building skills, with the ability to engage professionally and empathetically across diverse stakeholders.
    • Exceptionally detail-oriented, organized, and adept at managing multiple priorities in fast-paced environments.
    • A proactive thinker who can anticipate needs, foresee challenges, and propose effective solutions independently.
    • Able to maintain discretion, integrity, and professionalism at all times.
    • Tech-savvy, comfortable with quickly mastering new digital tools.
    • Familiarity with digital tools such as Google Workspace, Zoom, Slack, Asana, Airtable, Action Network, Dropbox, Zapier, and GrooveHQ is a strong plus.
    • We’re a fully remote team, but most of the collaboration for this position will happen during Pacific Time Zone business hours. For that reason, we strongly prefer candidates who are available to work during those hours.
