DUTIES AND RESPONSIBILITIES:
The following duties and responsibilities are performed under the direct supervision of the Front Office Supervisor.
1. Responsible for greeting patients with a SMILE,
2. Check-In -
2.1 Processing a variety of intake paperwork,
2.2 Verifying Insurance cards and Identification,
2.3 Updating Demographics,
2.4 Reviewing office policy and procedure with patients
3. Check-Out
3.1 Collecting co-pays, co-insurance and deductibles.
3.2 Collecting past due balance – Supervisor approves non-collection
3.3 Scheduling follow-up appointments -Review Plan of Care
3.4 Scheduling in-house specialist appointments in accordance with scheduling policy and procedures
3.5 Answering phones with proper phone etiquette
4. Distribute faxes throughout the day. Distribute "Alerts" as they come in following set procedures for MD/DO/PA-C/FNP notification.
5. Recognize and communicate potential Patient credit problems to Supervisor for follow-up.
6. Cancel, reschedule, confirm appointments.
7. Make follow-up appointments:
1. Review SOAP note – Plan
2. Document exact reason for follow-up based on the Plan of Care
8. Balance daily co-payments, balances, cash accounts
9. Take complete, accurate and legible phone messages. Review messages from answering service. Document all phone calls in message book: always includes date/time, patient name, and date of birth, phone numbers and detailed reasons for call.
10. Document patient communication in Kareo-“Memo to Record”
11. Assists when needed in the Medical Records Department/File Room.
12. Perform other tasks as assigned by management
EDUCATION/EXPERIENCE/QUALIFICATIONS:
1. Excellent interpersonal and oral/written communication skills.
2. Proficient in Word, Excel, and patient scheduling software.
3. Prior Front Office experience in high volume fast-paced medical practice or equivalent experience preferred.
4. Detail oriented.
5. Self-starter with the ability to work flexible hours and to work with minimal supervision.
6. Working knowledge of Microsoft Office including but not limited to: Word, Excel, Outlook, PowerPoint, and Access.
7. Ability to multi-task
