Administrative Assistant

Pay Range: $18-$21/Hr
Job Summary
The Administrative Assistant provides essential support to ensure efficient day-to-day operations of the organization or department. This role involves a variety of administrative, clerical, and organizational tasks to support team members, improve productivity, and enhance office functionality. The ideal candidate is detail-oriented, highly organized, and a proactive problem-solver with strong communication skills.
Key Responsibilities
Administrative Support
Manage and coordinate schedules, appointments, and meetings.
Prepare and edit correspondence, reports, presentations, and other documents.
Maintain and organize physical and electronic filing systems.
Handle incoming and outgoing communication, including phone calls, emails, and mail.
Office Management
Oversee office supplies and inventory; order materials as needed.
Ensure office equipment is operational and arrange for repairs as necessary.
Assist with onboarding new employees and maintaining employee records.
Event and Project Coordination
Organize and assist in coordinating team events, meetings, and travel arrangements.
Support project management activities by tracking deadlines, resources, and deliverables.
Assist in organizing and hosting company-wide initiatives, including training sessions and workshops.
Customer and Client Interaction
Greet and assist visitors, ensuring a positive and professional experience.
Address client and stakeholder inquiries promptly and professionally.
Provide customer service support as needed.
Other Duties
Collaborate with other team members on special projects and initiatives.
Perform other administrative duties as assigned to support team goals.
Qualifications
Education & Experience
High school diploma or equivalent (required); associate or bachelor’s degree in business administration or a related field (preferred).
Proven experience as an administrative assistant, or in a similar role.
Skills & Competencies
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Detail-oriented with a focus on accuracy and efficiency.
Ability to work independently and collaboratively in a fast-paced environment.
Discretion and confidentiality when handling sensitive information.
Preferred
Experience with scheduling tools, project management software, or CRM systems.
Basic knowledge of ServiceTitan is preferred
Compensation and Benefits
Salary Range is between $18-21/hr a year based on experience.
