SummaryThe Facilities Manager is responsible for overseeing the maintenance, repair, and operation of all company facilities located throughout Southern California. The Facilities Manager works closely with the onsite managers and staff to coordinate efforts and manage vendors efficiently, ensuring alignment with operations and overall property management strategy.
Job DescriptionKey Responsibilities- Facility Operations Management: Oversee day-to-day operations of all company properties, ensuring facilities are functioning efficiently and effectively.
- Vendor Coordination: Work closely with the Property Manager (ARC) to coordinate and qualify vendors, leveraging economies of scale across the portfolio. Ensure all vendors meet quality standards and provide cost-effective services.
- Maintenance and Repair: Manage and supervise all maintenance activities, ensuring that facilities are kept in optimal condition. Address any issues promptly to minimize disruption to operations.
- Project Management: Oversee facility-related projects, including tenant improvements, repairs, upgrades and other capital investments. Coordinate with the PMO Department to ensure projects are completed on time, within budget, and to the required standard.
- Compliance: Ensure that all facilities comply with local regulations, state and federal laws including ADA rules and environmental laws, with a focus on addressing violations and working with the Environmental Compliance Department
- Safety. Regularly inspect facilities to identify potential risks and implement corrective measures coordinated with our Security Manager.
- Budget Management: Prepare and manage the budget for facility operations, ensuring cost control while maintaining high standards of service.
- Security: Work with IT and onsite management to ensure properties are appropriately secured and that all fire and burglar alarms are monitored and functioning as expected. Manage the list of security codes and employee key fobs at each site.
- Reporting: Provide regular reports on facility conditions, maintenance activities, and project status to senior management. Analyze and present data to support decision-making.
- Strategic Planning: Collaborate with senior leadership to develop and implement long-term strategies for facility management, aligning with the overall goals of the real estate portfolio.
- Documentation: Develops and maintains facility management records for tracking infrastructure, warranties, maintenance activities, and compliance matters.
- Emergency Response: Develops and implements emergency response plans for facility incidents, coordinating with local authorities and emergency services.
Required Qualifications- 7+ years of proven experience in facilities management, particularly within a real estate portfolio that includes industrial properties.
- Strong organizational and project management skills.
- Excellent interpersonal and communication skills, with the ability to build strong relationships with tenants, vendors, and team members.
- Strategic thinker with the ability to analyze complex situations and provide effective solutions.
- High level of integrity and dependability with a strong sense of urgency.
- Proficiency with MS Office (Word/Excel/PowerPoint) and experience with facilities management or property management systems.
- In-depth understanding of building systems, maintenance practices, and safety regulations.
Preferred Qualifications- Experience working in a role that requires close coordination with property management and construction teams.
- Knowledge of vendor management and procurement processes in a facilities management context.

Salary: $125,000 - $150,000
