Van Pool Transportation LLCThe Collections Manager is responsible for leading and optimizing the company's accounts receivable and collections efforts to ensure timely payments, minimize overdue accounts, and improve cash flow. This role focuses on collaboration with cross-functional teams to streamline processes and resolve issues. While this position does not have direct reports, it requires influencing and coordinating efforts across the organization to drive results and maintain positive customer relationships.
Essential Functions:Collections Process Management:
- Monitor accounts receivable balances and ensures the timely collection of outstanding payments.
- Develop and implement strategies to reduce overdue accounts and improve Days Sales Outstanding (DSO).
- Handle escalations for complex or high-risk accounts and recommend resolutions.
Cross-Functional Collaboration:
- Work closely with operations, finance, and customer service teams to address billing issues and improve customer experience.
- Act as a liaison between customers and internal stakeholders to align collection strategies and streamline processes.
Process Optimization:
- Evaluate current collections workflows to identify inefficiencies and recommend improvements.
- Partner with IT and finance teams to implement automation tools and systems that enhance collections productivity and reporting.
- Develop and enforce clear policies and procedures to ensure consistency in collections practices.
Customer Relationship Management:
- Collaborate with customers to resolve payment disputes and address inquiries in a professional and constructive manner.
- Balance enforcing payment terms with maintaining strong customer relationships.
Data Analysis and Reporting:
- Prepare and analyze aging reports, collection performance metrics, and forecasts for leadership.
- Provide insights into trends, risks, and opportunities related to accounts receivable.
Compliance and Risk Management:
- Ensure all collections activities comply with company policies and relevant legal regulations.
- Evaluate credit risk and recommend adjustments to payment terms or credit limits as needed.
Qualifications:- Bachelor's degree in finance, accounting, business administration, or related field.
- 5+ years of experience in accounts receivable or collections, with a proven ability to influence and collaborate across teams.
- Strong knowledge of collections systems and ERP software (e.g., NetSuite, Oracle, or similar).
- Advanced proficiency with Microsoft Excel, Word, and PowerPoint (Power BI knowledge a plus).
- Strong analytic and communication skills, both written and verbal.

Work Environment: Beacon is a professional environment involving constant interaction with drivers, monitors, transportation coordinators, management, and other employees. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:This position requires the ability to sit, stand, walk, climb, or balance and stoop, kneel, reach, or crouch. This role requires sitting in front of a computer, as well as standing/walking while training indoors and outdoors. You must be able to travel to other bases/locations as required.
