Your Responsibilities:
Sales Support:
Serve as the primary point of contact for new client inquiries via phone, email, and social media.
Qualify leads, gather project details, and schedule consultations or site visits.
Prepare professional proposals and contracts, ensuring all required documentation is accurate and complete.
Track proposal statuses, follow up with clients, and maintain a CRM for lead management.
Project Administration:
Set up electronic job files with all necessary information, such as drawings, permits, and contracts.
Prepare bid packages for subcontractors, including assembling drawing sets and scopes of work.
Track project milestones and keep internal teams and clients updated on progress.
Maintain accurate records of communications and project updates for reporting purposes.
General Administrative Support:
Perform general office tasks, such as managing emails, scheduling, and organizing files.
Assist with internal communications and ensure smooth handoffs between teams.
Provide ad-hoc support to project managers and team members as needed.
What You Bring to the Team:
2+ years of experience in sales support, project coordination, or a related administrative role.
Strong organizational and time-management skills with the ability to multitask effectively.
Proficiency in MS Excel (e.g., tracking budgets, creating schedules), MS Word, and Outlook.
Familiarity with CRM tools (e.g., HubSpot, Salesforce) and project management software (e.g., JobTread, BuilderTrend) is a plus.
A valid California Driver’s License and reliable transportation.
Exceptional communication skills and a client-focused attitude.
