THE OPPORTUNITYThe
Administrative Services Manager (ASM) provides leadership and oversight for all client service administrative support functions and personnel. This role is responsible for developing, implementing, and managing efficient administrative processes, supporting professional staff with administrative needs, providing an optimal client experience and fostering the professional growth of administrative team members. The ASM plays a key role in optimizing administrative operations and driving consistency across the firm and its offices and periodic travel between offices.
ESSENTIAL FUNCTIONS - Supervise administrative team, provide coaching, and develop administrative staff, manage performance, and optimize team resources.
- Lead initiatives that improve efficiency and enhance client service.
- Design and implement efficient administrative workflows, leverage technology, and enhance productivity.
- Oversee key administrative functions, including new client onboarding, document management, and service coordination.
- Manage office operations, coordinate facility improvements, and oversee security/access control.
- Manage key administrative workflows, including: New client setup and onboarding, Electronic filing of returns, Client deliverable and report assembly, Tax filing deadline (March, April, September, October) and E-file authorization management.
- Gather feedback, refine processes, and drive administrative excellence across the firm.
- Partner with HR and the administrative team to standardize training programs and pathways.
- Occasionally serve as the primary technology stakeholder for selecting, implementing, and managing appropriate technology solutions within the administrative department and client-facing functions to ensure seamless operations and enhanced service delivery.
WHAT YOU BRING - 5+ years of experience in administrative roles, including 3+ years in leadership supervising administrative staff.
- Strong organizational, communication, and problem-solving abilities.
- Proficiency in Microsoft Office; ability to learn and implement new software.
- Strong aptitude for learning and implementing new software and technology tools.
