Position Summary
We’re looking for a proactive and reliable Event Marketing Coordinator to assist our Event Marketing Manager with the planning and execution of events. This is a high-energy, roll-up-your-sleeves kind of role that blends logistics, organization, and hands-on support. The ideal candidate thrives behind the scenes, enjoys staying organized, and isn’t afraid of a little physical work.
Key Responsibilities
Support event execution including booth setup, breakdown, and logistics
Assist with packing, transporting, loading, and unloading event materials
Maintain and organize inventory in our local event storage unit (North County San Diego)
Handle shipping needs: drop-off and pick-up from FedEx or other carriers
Keep project management tools (e.g., ClickUp) updated with event timelines, shipping statuses, and task completions
Track and restock promotional materials, branded swag, and booth supplies
Travel to ~5–7 events annually (domestic travel; some overnight trips required)
Assist with onsite logistics to ensure a seamless experience
Perform administrative prep tasks like printing, labeling, and packing
Communicate clearly with the Event Marketing Manager regarding needs, deadlines, and potential roadblocks
Requirements
Must reside in North County San Diego (close proximity to Encinitas storage unit is required)
Reliable personal vehicle with capacity to transport large bins and event equipment
Ability to lift and carry up to 30 lbs
Detail-oriented with strong organizational and time-management skills
Self-starter who communicates proactively and follows through on tasks
Comfortable with flexible schedules and occasional weekend work
Willing and able to travel for events (company covers travel expenses)
Bonus Skills (Nice to Have, Not Required)
Experience in event coordination, marketing, or tradeshows
Interest in health, wellness, or functional medicine
Familiarity with FedEx, shipping logistics, or inventory tracking
Tech-savvy with tools like ClickUp, Slack, and Canva
