Affinity Nightlife is currently hiring an Event Coordinator to join our team. This is a full time job - Monday - Friday plus weekends/overtime when needed.
Job Responsibilities
- Must own laptop, phone, and all necessary work items
- Stay on task and only work on given tasks given to you unless discussed
- Run personal and professional errands for owner as requested
- Manage Affinity staff (schedule, make sure they show up on time, are given requested tasks and are working diligently while on the clock)
- Manage outside vendors (designers, gig workers, promoters, event staff, volunteers, etc)
- Be the point of contact when requested for various partners (sponsors, event organizers we work with, vendors etc)
- Manage or co-manage promoters, vip hosts, model/influencer hosts & more
- Manage initial conversations and interviews with new hires
- Prepare and make sure they have all promotional materials for events are created & distributed to staff and marketing team
- Check in with promotional team members on days leading up to promotion to ensure they are putting in effort and promoting
- Relationship creation and growth with our sales team
- Reply to inbound questions and requests on social media, corporate email in a timely manner (within 30 minutes). This includes evenings and weekends.
- Efficiency and thoughtfulness in management of calendars for owner and support staff
- Coordinating travel arrangements, both domestically and internationally
- Preparing and submitting senior-level executive expense reports - cutting checks
- Communicating and coordinating with both internal and external personnel associated with our productions
- Assisting with the onboarding of new hires
- Maintaining studio Google Drive databases and files for internal and external production use
- Sending team task reminders, including populating agendas ahead of meetings
- Attending meetings to take and share meeting notes and to manage and follow-up with action items out of those meetings
- Keeping slack trackers, team contact lists, and other team documents up to date
- Brainstorming potential workflow efficiencies for the team
- Creating and presenting team decks as necessary
- Distribution list management - email blasts
- Manage Facebook/instagram & social media advertising
- Send email blasts
