Position Summary:
We have an exciting opportunity to join our team as a Lead Admitting Clerk.
In this role, the successful candidate performs duties related to the process of admitting patients to the hospital. Assists the Director with management of the department and oversees the daily activities of the staff.
Job Responsibilities:
- Performs other duties as assigned.
- Supplies each patient and/or representative with all required and pertinent documents.
- Obtains the required pre-admissions and admission information. Advises patients of their deductible and co-pay responsibilities and collects payment when applicable. Follows instructions given by the Director. Verifies source materials as to their authenticity and accuracy and gathers correct and up-to-date information. Available as key resource to the staff on a daily basis.
- Calls patient to apprise of admissions time. Courteously explains any patients responsibilities, i.e. private room differentials, limited insurance coverage, etc. Answers, thoroughly all patients inquiries pertaining to admission. Contacts the physicians office, if necessary, to rectify any patient financial or logistical problems.
- Interviews patients upon the arrival to the hospital. Accurately updates the computer system to correctly reflect all personal and insurance information. Explains thoroughly all forms, and obtains and witnesses all required signatures on consent and financial agreements. Reviews thoroughly all previously obtained order to ensure accuracy. Determines, based on established practice and collects if necessary, deposit for hospital costs. Promptly enters each admission in the admission log book. Writes thorough notes on the patients folders, with special emphasis on necessary insurance information.
- Computes and compiles the hospitals daily census. Gathers requested or required statistics on the census. Accurately gathers all pertinent data from the computer system, the admission log and the bed board. Adds, subtracts, and computes all data accurately. Records and transcribes all statistics accurately. Researches and corrects discrepancies to ensure correct census. Assists in taking reservation, from the physicians offices, works closely with the Director and Nursing to determine bed assignment on a daily basis. Accurately and expeditiously enters all information in the computer system, on a daily reservation schedule. Efficiently and courteously answers telephone and addresses all inquires. Assists in assigning patients, to appropriate accommodations, when necessary.
- Answers the telephone and responds to inquires for the section. Answers the telephone and inquires in a pleasant and courteous manner; promptly identifying the department when answering the telephone. Answers routine inquires accurately and refers non-routine inquires to the Director. Takes messages thoroughly and accurately.
- Cooperates and communicates with all hospital staff, including physicians, patients, their families and visitors in a courteous, effective and professional manner. Attentive to others in order to respond appropriately, answers questions, or obtains needed information. Maintains the confidentiality of all, patient, physician and hospital related information. Communicates ideas, problems, suggestions and messages in a timely and effective manner. Encourages open communication and expression in the department.
- Recognizes problems and sees solutions as appropriate. Able to determine when a problem should be referred to the Director or requires a follow-up attention. Demonstrates alertness and adaptability to changing patient and employee conditions; responds appropriately. Makes good judgments, which are based on gathering, and analyzing factual and objective data; able to interpret policies/procedures in order to make sound independent decisions. Seeks information necessary for accurate completion of job duties uses reference materials to ensure accuracy.
- Coordinates own work and the work of the staff to achieve efficiency and provide quality service. Strives to make good use of time during the assigned shift through careful coordination of daily tasks. Demonstrates adaptability by adjusting well to changes in scheduling.
- Makes appropriate suggestions which would enhance or benefit the area or department. Recognizes when help is needed by others and offers guidance and assistance. Demonstrates independent thinking and the ability and desire to learn more skills/functions.
- Ensures departmental compliance with applicable standards of The Joint Commission on Accreditation of Hospitals, as well as, applicable federal, state and city regulations; designs and implements a comprehensive program of quality assurance. Remains aware of current regulatory requirements. Thoroughly answers any questions pertaining to these documents.
- Adheres to departmental guidelines concerning sick time, vacation, personal days, and other paid/unpaid leaves. Arrives on time for work and meetings, provides proper notification of absences or tardiness and maintains a professional appearance; wears identification badge at all times.
Minimum Qualifications:
High School Diploma required. Hospital admissions experience and/or familiarity with insurance verification procedures is preferred. Two (2) years of census preparation, reporting and troubleshooting is required.
Preferred Qualifications:
In addition to the minimum qualifications, light typing and working knowledge of computers is required as are a good communication and interpersonal skills.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $47,150.68 - $51,817.93 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
