Job Overview:
We are seeking a dedicated and detail-oriented Receptionist to join our busy Criminal/ Immigration law office. The ideal candidate will be the first point of contact for clients, providing a welcoming atmosphere while assisting with administrative tasks. This role requires excellent communication skills, professionalism, and a basic understanding of immigration processes. Prior experience in a legal or immigration office is preferred but not required.
Key Responsibilities:
• Greet clients and visitors, ensuring a positive first impression.
• Answer and direct incoming calls, taking detailed messages as necessary.
• Manage office email accounts and distribute communication to appropriate staff.
• Complete detailed intakes for new clients/ new cases using our office template, schedule client consultations and meetings.
• Maintain the attorney’s calendar using Google Calendar, ensuring appointments and meetings are organized and updated (including court hearings – EOIR, Criminal, Civil).
• Assist clients with inquiries regarding immigration case statuses or general questions, directing complex issues to attorneys or paralegals.
• Maintain confidentiality of all client information and adhere to legal ethics.
• File, scan, and organize legal documents, client files, and incoming mail accurately.
• Assist in preparing and sending correspondence (letters, emails, forms) as needed.
• Support attorneys and paralegals with administrative tasks, including photocopying, data entry, and maintaining client databases.
• Maintain consistent and accurate communication with clients regarding case updates and information/ document requests.
• Prepare and file USCIS Forms i.e. I-765, G-639, and I-821D.
Requirements:
• High school diploma or equivalent.
• Previous experience in a law office or immigration firm preferred.
• Bilingual in English and Spanish (or another relevant language) is highly desirable.
• Proficiency in using Google Calendar for scheduling appointments and managing attorney’s court hearings.
• Excellent communication and customer service skills.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to work under pressure in a fast-paced environment.
