ABOUT THE ROLE:
The Talent Acquisition Coordinator plays an important role in supporting the Talent Recruitment team by providing administrative assistance for various recruitment activities, including maintaining the Taleo applicant tracking system (ATS) and serving as the first point of contact for applicants and end users. In this role, you will support departments throughout the hiring process and ensure a smooth candidate experience. This position offers an opportunity to contribute to the City’s talent acquisition strategy while fostering the growth of a diverse and dynamic workforce.
KEY DUTIES AND RESPONSIBILITIES:
- Review and approve the Taleo Applicant Tracking System (ATS) job requisitions, formatting and revising job descriptions as needed.
- Advertise job postings across various external job boards.
- Track job posting expenditures by inputting details into a shared budget spreadsheet.
- Support the Labor Service/Personnel Analyst with ensuring accurate record-keeping for procurement and accounts payable processes and maintain proper documentation for recruitment-related expenses.
- Monitor job requisitions to ensure data accuracy and follow up with departments as necessary to obtain vacancy updates.
- Run reports on vacancies and other recruitment metrics.
- Assist end-users with Taleo, resolve system questions, and assist departments with recruitment tasks in the system as needed.
- Assist with developing creative social media posts to promote job openings and highlight workplace culture initiatives.
- Take the lead in managing the Recruitment Outlook inbox, responding to inquiries in a timely manner and triaging as needed.
- Share job postings with the community partnership list and assists with ongoing external partnership outreach and development.
- Assist with organizing and attending job fairs and recruitment events.
- Assist with sourcing of passive candidates and works to build a strong pipeline for hard-to-fill positions through Indeed, LinkedIn and other tools.
- Provides administrative support in preparing for the Taleo End User Trainings, including applying as test candidates and assisting during live interactive trainings.
- Provide administrative support to the Labor Service/Personnel Analyst by printing and assisting with the tracking of labor service applications.

MINIMUM QUALIFICATIONS:
- High School Diploma or equivalent is required.
- At least 1 year of administrative or customer service experience is required.
- Interest in HR or Talent Acquisition.
- Strong people and listening skills with the ability to communicate effectively across various teams.
- Extremely detail-oriented and organized, with a passion for tactical and administrative work.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) is required.
- Experience using an Applicant Tracking System (ATS) is preferred.
PHYSICAL DEMANDS:
Work requires the ability to access, input, and retrieve information from a computer for extended periods. The position involves reading and analyzing large quantities of information, often requiring prolonged periods of sitting. Occasional lifting of objects up to 10 pounds, such as files, office supplies, or equipment, may be required. The role also involves traveling between office locations within the city for meetings or other work-related tasks.
WORK ENVIRONMENT:
Work is primarily conducted in a standard office setting, which includes fluorescent lighting, air conditioning, computers, and other standard office equipment. The position may also involve attending meetings in various office locations across the city. While most work will occur indoors, there may be occasional travel between different work sites. The environment may require adapting to moderate noise levels typical of an office and handling physical tasks such as moving office materials or supplies.
This position may be eligible for hybrid work under the City’s Telework Policy, depending on operational needs. While the role will primarily require onsite work, there may be an opportunity to work from home up to 2 days a week after full training has been completed.
