Location: On-site 5 days per week in Mountain View, CA
Overview: This candidate will support the daily administrative and operational functions of our client's office. This role is essential in maintaining office efficiency and ensuring smooth day-to-day activities across departments. This position requires a proactive, adaptable individual who thrives in a dynamic, fast-paced environment and has the potential to grow into a full-time role through a contract-to-hire pathway.
Key Responsibilities:
- Greet and assist visitors, ensuring a welcoming and professional front office atmosphere.
- Handle incoming phone calls, emails, and correspondence, directing them to the appropriate teams or individuals.
- Manage office supplies inventory, reordering as necessary, and ensuring proper distribution across departments.
- Support scheduling and calendar management for team members, including booking conference rooms and coordinating internal and external meetings.
- Assist with document preparation, data entry, filing, and general clerical duties as needed.
- Coordinate shipping and receiving of mail, packages, and office supplies.
- Assist in organizing company events, team meetings, and other ad-hoc administrative projects.
- Liaise with building management for maintenance requests and office-related issues.
- Ensure common areas such as meeting rooms, kitchens, and reception areas are kept clean and organized.
Qualifications:
- High school diploma or equivalent; relevant administrative experience preferred.
- Candidates should have office manager experience.
- Excellent written and verbal communication skills.
- Proficient in Google Suite, Slack, Adobe, DocuSign.
- Strong organizational and multitasking skills, with the ability to prioritize tasks efficiently.
- Reliable and punctual, with the ability to maintain confidentiality in all aspects of the role.
- Comfortable working in a fast-paced, innovative environment.

- This position may transition into a full-time, contract-to-hire role based on performance and business needs.
