Tonkon Torp LLP, a full-service business law firm, is seeking a meticulous and organized New Business Intake Coordinator. In this pivotal role you will support the client onboarding process by maintaining accurate client and matter records, processing conflict checks, and managing both digital and physical files in line with firm policies and procedures. The ideal candidate will have a keen eye for detail, strong communication skills, and the ability to work effectively with attorneys and other legal professionals while ensuring strict confidentiality. After 30 days of employment, hybrid work may be available.

Typical duties may include:
New Business Intake:
• Process requests to create new clients and matters with precision and adherence to policies.
• Collaborate with attorneys and staff to finalize conflict checks and manage engagement letters.
• Maintain digital and physical client files in our document management system.
Conflict Management:
• Process conflict check requests from various channels and distribute weekly updates to attorneys and staff.
• Update client and matter records, ensuring data accuracy and compliance.
Administrative Duties:
• Manage service notices, notify responsible parties, and support various administrative tasks.
• Other duties as assigned to meet the dynamic needs of the firm.
The ideal candidate has:
• 2 - 5 years of experience in a similar role; legal database experience is a plus.
• Exceptional organizational, multitasking, and customer service skills
• Strong proofreading skills with meticulous attention to detail and accuracy
• Excellent interpersonal skills, able to communicate effectively with diverse groups while maintaining professionalism and confidentiality.
• Proficiency with Windows-based environment, including but not limited to Microsoft Office (Word, Outlook, Excel) and Adobe Acrobat; experience with 3E and iManage is a plus.
• Ability to prioritize and manage multiple tasks efficiently under time constraints.
• Ability to maintain strict confidentiality and accuracy in all tasks.
