We're seeking a seasoned administrative professional to join our rapidly expanding team. In this critical role, you'll be the first point of contact for clients and visitors upon their arrival at our office. This position will support the Finance & Admin Manager extensively and assist with diverse office-related tasks as needed.
Primary Objectives for this Role:
As the Administrative Assistant/Receptionist, you will be the initial point of contact for clients and visitors, creating a lasting first impression. Your responsibilities will encompass overseeing various office duties, performing data entry tasks, operating standard office equipment, and upholding strict confidentiality standards. In this role, you will serve as the primary point of contact for answering phone calls with a strong emphasis on professionalism, and you will excel in the crucial task of evaluating and qualifying leads for the sales team. Additionally, you can leverage your exceptional time management abilities to manage multiple tasks and prioritize work effectively.
*Must be able to commute to the Walnut Creek location daily.
Key Skills & Experience:
• A minimum of (1) year of experience as an administrative professional, demonstrating strong expertise in handling phone calls and lead qualifications.
• Advanced computer skills, including advanced GSuite and Microsoft Office Suite knowledge.
• Ability to prioritize and organize complex, confidential, time-sensitive tasks and display exceptional project management skills.
• Meticulous attention to detail and a high level of accuracy.
• Preference will be given to candidates with prior experience in an administrative assistant role within a construction-related field.
• Experience with QuickBooks is preferred.
• Ability to demonstrate independent judgment, initiative, and common sense in problem-solving and making recommendations.
• Displays tact, diplomacy, and confidentiality, maintaining a respectful and approachable demeanor. Establishes professional interactions and builds business relationships grounded in mutual respect.
