Our beverage catering division is looking for an Production Coordinator with more than three years experience producing events and five years minimum in the private events industry. The ideal candidate holds a bachelor’s degree, has experience in fine dining, bar experience with craft cocktails and is a creative problem solver with excellent and proven client service experience demonstrated through current references.
40 hours per week, Monday - Friday, working in-person at our office.
As an Event Producer you will field all incoming emails and requests from customers, vendors and clients and will be the first point of contact for anyone reaching out to Wine Meats Cheese from our website or the general email addresses listed on any online portals. You will orchestrate the planning of the event, staff appropriately, collect all relevant and necessary information and steer the client with thoughtful and knowledgeable expertise in the field. Organization, problem solving and a solutions-oriented approach is vital to this role. Relentless follow-up, quick thinking and end-to-end ownership should be your wheelhouse.
Daily Responsibilities
- Triage email inbox and assign inquiries to responsible internal parties, communicating with those parties when needed
- Maintain and follow-up on all existing correspondence in company email inbox
- Field catering event inquiries and build proposals for upcoming events
- Communicate with General Manager and Warehouse as events are confirmed
- Work to reply to all new catering request emails within one hour and produce proposals within 12 hours
- Collaborate on Bar Catering Checklists with General Manager
- Maintain and update Production Schedule on a daily basis
- Assist in the continued growth and improvement of the event planning process, work with the General Manager to build team roster, improve communication, streamline systems
- Lead staffing inquiries and communicate to the management team upon completion or when facing shortages
- Tracking any stipends, bonuses, cancellation fees or promises made to event staff during the booking process
- Assist with other projects as assigned by management

Qualification and Skills:
- Basic computer and Google Suite skills with high degree of mathematical accuracy (using EXCEL or G-Sheets)
- Excellent interpersonal communication and customer service skills
- Computer aptitude - experience with Apple products
- Emphasis on communication and customer service

- At least three job references from previous employers
- Basic bartending knowledge

Schedule:
- This position requires physical presence in our SF office, Monday - Friday, 8am - 5pm, 40 hours a week
- This position reports directly to the General Manager and works with Warehouse Operations, Catering Staff and the Production Team.
Software & Equipment:
- Previous proficiency ideal but not required in: Apple products, Slack, Google Suite, ZenDesk, Dubsado and RingCentral
