Geosyntec has an exciting opportunity for an Early-Career HR Compliance Coordinator / Administrator in our Boca Raton, FL office (potential hybrid option 2-3 days from home after introductory period). The position plays an integral role in ensuring timely and legally compliant administration, coordination, maintenance, reporting, tracking and PO/invoice processing for HR functional areas, including but not limited to, pre- and post-employment screenings workers compensation, immigration, affirmative action, and talent acquisition. Work requires initiative, judgment and discretion in planning, prioritizing, and organizing a diversified workload, to ensure compliance with company policies and procedures, in-country employment laws, and client requirements, escalating elevated matters as needed.

Essential Duties and Responsibilities
- Coordinate and administer client-driven drug screening and background check programs. The incumbent can expect at least 50% of the weekly work to require interactions and relationship building with employees, project managers, and our vendors to ensure the processing of screenings in line with FCRA, DOT and other applicable laws, creating and maintaining policies and procedures, internal intranet site and guidance, client/vendor, and HR files and other related documents as required by clients or law.
- Responsible for all aspects of client-required third-party platforms including account creation, set up, and user and data management; and other vendor relationship management functions as needed.
- Collaborate with relevant departments to respond to client specific safety monitoring platform needs; and respond to compliance questions surrounding the company’s drug screening and/or background check policies.
- Review drug screening and background check results for clearance within company and client guidelines and provide to employee; escalate flagged drug screenings and/or background check results to appropriate parties for pre-adverse/adverse actions review.
- Work directly with drug screening and/or background check vendors to create, maintain, or update appropriate drug panels and/or testing requirements and maintain drug screening employee participation pool data.
- Partner with client specific drug screening vendors and managers to coordinate random monthly and quarterly selections and screenings.
- Research and stay up to date on local and federal drug testing and background check requirements, including, FCRA, DOT history and agency/vendor forms and processes.; and research and administer the reasonable suspicion and return to duty processes in line with client and legal requirements.
- With an understanding of the company Drug-Free Workplace Policy and varied client protocols, assist in the review Master Service Agreements (MSA) for drug screening and/or background check site access requirements and advise project management of the process forward to ensure compliance.
- Maintain Learning Management System data entry for drug screenings and background checks, as needed.
- Assist with and respond to supply chain management vendor and compliance audit requests (ISN, NCMS, DAMIS etc.) including pre-employment documentation and site observation forms.
- Handle client driven audits (NCMS, ISN, DAMIS etc.), ensuring accurate statistical report data, drug screening panels, Non-DOT and DOT pre-employment authorization documentation, and required site observations forms (if applicable) are provided in a timely manner.
- Assist with administration of workers compensation (WC) claims, ensuring accurate and timely filing and data entry as needed.
- Administer annual and ongoing worksite poster and postings compliance program and related internal communications with HR POCs for 94+ offices; remain aware of posting updates and new hire notice updates to ensure information is maintained current on SharePoint, Onboarding, and in office locations.
- Maintain SharePoint sites and information in areas of focus including drug/background program, compliance postings, workers’ compensation provider panels and other talent acquisition and HR compliance requirements process talent acquisition and HR compliance POs/invoices to ensure timely payments..
- Compile, customize, and process HR compliance reports for various internal and external stakeholders, as assigned.
- Continually identify opportunities for improving processes, tools and efficiencies in all compliance areas, maintaining and creating related procedures as necessary; and
- Perform other Talent Acquisition and HR compliance related duties of varying complexity and confidentiality, as assigned.
Skills, Experience and Qualifications
- Associate degree and at least 3 years of related experience; or equivalent combination of education and experience supplemented by course work in Human Resources or related field. (required)
- Strong MS office software proficiency including Word, Excel (including formatting, formulas, v-lookups, etc.) and PowerPoint. (required)
- Experience working with HR Information Systems (HRIS), Applicant Tracking Systems (ATS), and screening vendor platforms. (required)
- Knowledge and experience with employment law and HR practices including compliance concepts and procedures. (required)
- Exceptional attention to detail, time management, multi-tasking, and organizational skills. (required)
- Availability to work overtime on occasion if required by project demands. (required)
