The Entertainment Community Fund (formerly The Actors Fund), a nationwide human services organization that helps all professionals in performing arts and entertainment, seeks an Administrative Coordinator to provide a wide range of support to key programming areas to ensure efficient operation in Social Services.This is an in-person, onsite position.
The Rodney Kirk Center is a residence-based social services program with a particular focus on providing support and clinical case management to seniors, their family and caregivers, developing services that will help older residents stay socially engaged and maintain their independence allowing them to ‘age safely in place.’ This program is located within Manhattan Plaza which is the world’s largest affordable housing residence for performing arts with approximately 2500 residents of which 1500 residents are older adults. Manhattan Plaza has a history of developing programs and activities that support their tenants and create a sense of community. This position will play an important role in supporting and growing programming that continues this tradition.
RESPONSIBILITIES
The Administrative Coordinator is the first point of contact for clients engaging with the Rodney Kirk Center. This position is responsible for providing administrative support including greeting residents, answering phone calls and program emails, filing, copying and scanning. The Administrative Coordinator will schedule and coordinate appointments, and work with the Activities Coordinator to assist clients in registering for activities and special events. This position supports the social service team by responding to general programming information inquiries and ensures that all requests for services are triaged to the appropriate staff or volunteer.
The Administrative Coordinator will manage and input data including but not limited to creating and tracking weekly well calls, managing the monthly outreach list and recording outreach data. The Administrative Coordinator will schedule and document Benefit Volunteer appointments, organize and manage the RKC resource database and assist with data entry for events and activities. The Administrative Coordinator will ensure the confidentiality of all information entered per program protocols. The position will make reminder calls to clients for appointments and/ or events and assist the Activity Coordinator with monthly birthday card mailings. The Administrative Coordinator will also assist staff with creating and sending RKC email blasts through Mailchimp, creating and printing program flyers, and may also host and run virtual meetings and activities via Zoom. Track RKC expenditures, complete monthly credit card reconciliation and maintain monthly spread sheet of all RKC expenses.
MINIMUM QUALIFICATIONS
- Associates degree and a minimum of 3 years of administrative experience or equivalent combination of education and experience.
- Attention to detail, precision, and efficiency in data entry and file management
- Demonstrable proficiency in MS Office suite and strong computer skills
- Strong interpersonal, verbal and written communication skills
- Ability to problem-solve, prioritize and effectively manage time.
- Good phone skills and experience at reception.
- Ability and commitment to develop and sustain respectful effective working relationships with a diverse population, including colleagues and clients.
- Bilingual English-Spanish required
ADDITIONAL REQUIREMENTS
- Home visits and other local travel
- Holiday and evening programs as scheduled
PREFERRED QUALITIES
- Prior file clerk or database management experience helpful
- Self-driven and able to work independently to meet expected deadlines
- Proficiency in Mailchimp, Calendly, Publisher or Canva helpful
