About the Role:
We are seeking a detail-oriented, professional, and customer-focused individual to join our team as a Receptionist / Administrative Assistant. In this role, you will serve as the first point of contact for our company while also providing essential support to management and administrative functions.
Key Responsibilities:
• Manage incoming calls, ensuring efficient screening and routing.
• Welcome and assist visitors, vendors, and guests in a friendly and professional manner.
• Maintain the cleanliness and organization of the reception and conference room areas.
• Support management with exceptional customer service and administrative tasks.
• Perform accurate and efficient data entry, including expediting customer purchase orders (POs).
• Conduct occasional research to support business operations.
• Handle banking tasks such as preparing bank deposits & cash posting as well.
• Sort, organize, and distribute incoming mail.
• Prepare and send customer invoices.
• Assist with accounts receivable (A/R) collections and follow-ups.
• Provide support for accounts payable (A/P), data entry including mail management.
Qualifications:
• Exceptional customer service and communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in data entry with attention to detail.
• Prior experience in a machine shop or industrial environment is a plus.
• Basic knowledge of accounts receivable and accounts payable processes is preferred.
• Spanish a plus
