We are a small business that performs subcontracting services on approximately 10-15 projects a week. We need a project administrator to help with the required communication, administrative paperwork, and data entry, for both private and government contracting.
Typical Tasks:
• Project setup, maintenance of project related information, and prepare project related correspondence as necessary.
• Communicate verbally and via email with clients to schedule and set up projects and confirm they are on track so our schedule stays full with no down days.
• Ensure all required contract documentation is executed for clients in a timely manner including insurance certificates, create USA/DigAlert tickets, certified payrolls and certified payroll entry for DIR.
• Maintenance of digital project files and archival records, management of project contract and technical documents, internal and external communications.
• Support the Administrative Manager on special tasks and projects
• Compose transmittals, letters, insurance certificate requests, as well as other project specific documentation as required.
Job Requirements:
• Excellent communication skills, written and verbal, and punctuality required.
• Strong organizational skills especially the ability to follow-up on tasks and communication.
• Demonstrated self-starter capable of taking initiative, learning new tasks, prioritizing work, and requiring minimal supervision.
• Experience completing administrative requirements for government contracting DIR online reporting, Prevailing Wage, LCP Tracker, Elations. Cal Apprenticeship Counsel, etc)
• Proficiency in QuickBooks, Word, Excel, Adobe, and QuickBooks required. Experience with LCPTracker, DIR online payroll entry, and Elations preferred.
• At least 1 year of related experience in Project Accounting, or Project Administration on government projects preferred.
• Ability to go to a training for a new skill or compliance requirement and leave with knowledge and an action plan for our business.
• If you can prove that you are a quick learner with impeccable follow up and organization, lack of office work experience does not matter. Grammar and punctuation matter more to me. If you managed a youth league, a church group, a family of 5 involved in youth sports, a bowling league, that is experience to me. I just want someone who can work and does not need to be babysat or told what to do.
