We are looking for a motivated,dependable, friendly and detailed oriented Office Assistant to help support our growing operations. This is an exciting opportunity for a dynamic individual to play a key role in customer service, sales, support and the management of our social media presence.
Sales & Customer Support:
Assist with incoming sales inquiries via phone, email, and in-person communication.
Provide top-tier customer service to both potential and existing clients, ensuring their needs are met promptly and professionally.
Respond to customer questions and concerns, maintaining a positive and helpful attitude at all times.
Administrative Tasks:
Maintain a clean and organized office environment, ensuring all supplies and equipment are readily available.
Assist with administrative duties such as scheduling meetings, handling correspondence, and preparing client documentation.
Help prepare and understand project estimates and contracts, working alongside senior team members.
Social Media & Marketing Management:
Manage and update e-commerce site, social media platforms (Facebook, Instagram, etc.) to increase brand awareness and customer engagement.
Develop and schedule creative content (Canva, etc) including posts, images, and video that aligns with the company’s brand and services.
Monitor social media metrics, track performance, and adjust strategies for optimal engagement and growth.
Customer and Client Record Maintenance:
Keep accurate records of client payments, contracts, and communications.
Ensure all client contracts and project details are filed and tracked in our CRM system.
Maintain and update lead tracking system to ensure no sales opportunities are missed.
Inventory & Vendor Management:
Place vendor orders, coordinate shipments, and manage inventory to ensure all necessary materials are on hand for projects.
Track orders and deliveries, following up with vendors and ensuring timely receipt of items.
Requirements & Qualifications
Technical Proficiencies:
Knowledge of Canva for content creation and design.
Comfortable working within Google Suite (Docs, Sheets, Drive, etc.) and familiar with office applications.
Basic understanding of QuickBooks for creating estimates, invoices, POs and client payments (preferred, but will train).
Bonus Skills (Preferred but not required):
Experience in construction or a basic understanding of the construction industry is highly beneficial.
CRM systems experience for lead and client management
Physical Requirements:
Must be able to lift up to 50 lbs (office equipment, supplies, etc.).
Must be available Monday-Friday 9am-5:30pm.
