Job description
Administrative assistant, take care of all questions, issues, or applications for our CEO’s clients. Enter new referral sources, set appointments, prepare quotes, check on and input providers/medications on our platforms. Create and prepare letters. Research information. Update income changes for ACA policies.
Point of contact for CEO: will take phone calls that come in for our CEO and try to take care of any issues. If a task that should fall on our CEO, then set appointment for him.
Complete e-apps for our CEO after sale and track to completion
Maintain our CEO’s future sales spreadsheet
Monitor and assist in Missing Part D for CEO, using our system to secure this Part D for agent (40-30-20-10-daily) trying to not get into daily.
Will manage CEO’s CRM activities and emails throughout day attach unattached emails, attach SOAs save in file, move app confirmation, call and set appt for T-65, clear out easy items and make sure Jason is aware of important items. Never Move without item being completed and never delete move to file once completed, must maintain confidentiality.
Help clients enroll in Medicare A-B, upload L564/cms40B
Manage CEO’s calendar/schedule: get necessary information prior to appointment.
Follow up with clients: to secure applications, set appointments, conference calls to confirm Part B enrollment.
High Level VIP customer service as needed, Help answer phone and fix if available.
ACA, Medicare products, dental, vision, Part D sales and enrollments as needed.
Submit paper applications by our NB process and fix any status issues on policies submitted as soon as possible.

Qualifications
Proven experience in executive administrative support and personal assistance
Strong organizational skills with a focus on calendar management
Excellent phone etiquette and computer literacy
Proficient in Microsoft Office and Google Suite applications
Experience in event planning and project coordination
Familiarity with QuickBooks and bookkeeping practices
Ability to handle clerical tasks, data entry, and customer service interactions
